What to include in a credit note

A credit note needs 8 things on it to do its job, from the credit note number at the top to the reason for credit at the bottom. Miss one and the buyer's accounts team will park the document until someone fills the gap.

The 8-point checklist

Every field on a credit note answers a question the buyer would otherwise have to ask: who is this from, what is it for, which earlier document does it belong to, what do I do next. A credit note that corrects an invoice after a return, a pricing error, a shortage or an agreed discount cannot do that with a field missing.

  1. Credit note number. Its own sequence, so corrections are traceable without touching the original invoice. Example: CN-0044
  2. Issue date. Starts the clock for validity, delivery and payment terms; for invoices it usually sets the tax point. Example: 18 September 2026
  3. Invoice being corrected or paid. Credit notes and receipts are meaningless without the invoice they relate to. Example: Against invoice INV-2026-0918
  4. Seller name, address and contact. Identifies who is supplying and who to contact about the document. Example: Northgate Joinery Ltd, 14 Mill Lane, Leeds LS1 4AB, accounts@northgatejoinery.co.uk
  5. Buyer name, address and contact. Identifies who is ordering or paying; on invoices the legal entity name matters for tax. Example: Harbour Café Ltd, 3 Quay Street, Bristol BS1 6XN
  6. Line items. Description, quantity, unit price and line total for each item, so both sides can check the arithmetic. Example: 12 × oak worktop 3 m @ $185.00 = $2,220.00
  7. Subtotal, tax and total. Shows the tax separately so the buyer can reclaim it and the seller can report it. Example: Subtotal $2,220.00, VAT 20% $444.00, total $2,664.00
  8. Reason for credit. Auditors and tax authorities expect a stated reason for reversing revenue. Example: Reason: 2 worktops returned damaged

Numbering

Numbering: Its own sequence, and it must reference the invoice number it corrects. Keep the sequence unbroken; a gap looks like a missing document to anyone checking the books.

What it does in the accounts

Accounting treatment: negative revenue for the seller, a reduction of the payable for the buyer, and a tax adjustment. The validity or lifetime of the document, applied against the referenced invoice or future invoices, follows from that role.

The mistake to avoid

If you take one warning from this page: avoid deleting or editing the original invoice instead of issuing a credit note, which breaks the audit trail. Everything else on the list is easy to add; that one is easy to get wrong.
